• Account Authentication: To access the client portal, we collect your email address. We use magic-link and password-based authentication via Supabase. We do not store passwords in plain text.
• Usage Data: We may collect standard server-side log data such as IP address, browser type, referring URL, and pages visited. This data is used for security and operational purposes only.
• Communications: If you email us directly, we retain that correspondence.

We do not collect or process payment card information on this website. All payment arrangements are handled offline.

3. How We Use Your Information

We use the information we collect to:

• Respond to your inquiries and intake requests
• Provide and manage public adjusting services on your behalf
• Operate and secure your client portal account
• Send transactional emails (account verification, password resets, case updates)

• Service Providers: We use trusted third-party services including Supabase (database & authentication), SendGrid (transactional email), Cloudflare (hosting & security), Notion (internal case management), and Google Maps (address lookup).
• Insurance Carriers & Third Parties: In the course of adjusting your claim, we may share relevant claim documentation with your insurance carrier or their representatives — only with your knowledge and as required to serve you.
• Legal Obligations: We may disclose information if required by law, court order, or regulatory authority.

SMS consent and mobile phone numbers collected through our SMS opt-in program are never sold, shared, or disclosed to third parties or affiliates for marketing or promotional purposes. SMS consent is not shared with third parties.

5. Data Storage & Security

Your data is stored securely using Supabase's hosted infrastructure. Documents uploaded to the client portal are stored in Supabase Storage with access controls in place. All data is transmitted over HTTPS/TLS encryption.

While we take reasonable technical and organizational measures to protect your information, no method of transmission or storage is 100% secure. Contact us immediately if you believe your account has been compromised.

6. Data Retention

We retain your personal information for as long as necessary to fulfill the purposes described in this policy and to comply with applicable legal and regulatory requirements. Client claim records may be retained for up to seven (7) years in accordance with Ohio insurance regulations. You may request deletion of your account and associated data by contacting us directly.

• Request deletion of your personal information (subject to legal retention obligations)
• Withdraw consent where processing is based on consent
